Kilonsky Assistant Dean for Student Services SUBJECT: Graduate Student Appointments to JABSOM Committees The JABSOM Bylaws provide for graduate student representation on some JABSOM standing committees. These include: • Executive Committee—one graduate student • Graduate Biomedical Science Education, Graduate Student Affairs and Joint Degree Programs (GBSE)—3 graduate students and one joint degree student • Library Advisory Committee—one graduate student • Informatics Committee—one graduate student The Bylaws specify the method of selection for only the Executive Committee and the selection is to be made by my office. To help me make the selection for this committee and the others, I would like ask that each graduate program select one student who is willing to participate on a school wide committee and be a liaison between the students in their program and the committees. This group can meet and decide which student participates on which committee. The Executive Committee is the only one of these four committees that meets monthly and the next meeting is September 20th. I would like to have a graduate student representative for the committee by that time. Can you or the students in your program select a representative by August 30th? This will give us a chance for the representatives to meet and designate committee assignments before the first Executive Committee meeting of the year. If you can send me the name and contact information for your student, I will arrange for the group to get together. I have included excerpts from the Bylaws that describe the committee. If you have any questions, please give me a call The Executive Committee The Executive Committee shall be composed of the Dean, the Vice Deans, the Senior Associate Dean, the Chairman of the Curriculum Committee, the Department Chairpersons, the Director of PBRC, the President and Vice President of the Faculty Senate, the Associate Deans of Student Affairs, Public Health, Post Graduate Education and Faculty Development and Clinical Research, the Division Chairs of Medical Technology and Audiology and Speech Pathology, the class presidents of the sophomore and senior medical School classes, and a graduate student selected by the Office of the Assistant Dean for Graduate Student Services. Program directors, division chiefs, a representative from the Cancer Research Center of Hawaii (CRCH) appointed by the Director, and assistant and associate deans all serve as ex-officio non-voting members of the Executive Committee. The Executive Committee will meet on a twice-monthly basis, once as a plenary committee and once as a series of planning committees as described below. When meeting as a Plenary Committee the Executive Committee will be chaired by the Dean or, in his absence, the Vice-Dean for Academic Affairs. The Chair will not vote except to break a tie. The Executive Committee will be responsible for recommending School policies to the Dean. It will discuss all matters brought before it by any of its members, Standing Committees of the School, or the Faculty Senate. The Executive Committee shall, by majority vote, make recommendations to or advise the Dean on these matters. Members of the Executive Committee unable to attend a meeting may designate, in writing to the Dean, alternates from the Voting Faculty to represent them and vote on their behalf at that meeting. Special meetings of the Executive Committee may be called by the Dean or by written request to the Dean by five of its members. A quorum of the Executive Committee shall be a majority of its voting members or designated alternates. Committee on Graduate Biomedical Sciences Education, Graduate Student Affairs and Joint Degree Programs The Committee on Graduate Biomedical Sciences Education, Graduate Student Affairs and Joint Degree Programs shall review, advise and make policy recommendations on matters related to graduate medical sciences education and joint degree programs in the School. The Committee shall address School-wide entrance and performance requirements for programs leading to the Master of Science and Doctor of Philosophy degrees. The Committee shall make policy recommendations regarding the distribution of tuition waivers, assistantships and other available student financial aid. The Committee shall develop School criteria for appointment to the Graduate Faculty, review the credentials of Faculty members who are candidates for membership on the Graduate Faculty and make recommendations to the Dean of the Graduate School for such appointments. The Committee will also promote and coordinate the development of appropriate joint degree programs in the School of Medicine. It will work with the units providing the various components of these programs to ensure that work is sequenced in an efficient and flexible manner for students, appropriate academic standards are maintained and communication with students is optimized. The Committee will be composed of the Vice Dean for Academic Affairs (chair), the Associate Dean for Admissions, the Associate Dean for Students, the Director of OME, the Assistant Dean for Graduate Student Affairs, Program Chairs for each entity granting MS or PhD degrees, the Chair of the JABSOM Curriculum Committee, three graduate students and one joint degree student. Library Advisory Committee The Library Advisory Committee will advise the director of the JABSOM library as to appropriate policies relative to access to and use of the School’s library facilities and as to the nature and content of the educational and reference materials purchased or acquired by the library for use by the JABSOM community. The Committee may establish such sub-committees as in its discretion are required to assist in its work, including a Learning Resource Center Committee. The Committee will be comprised of four voting Faculty and two student representatives, one each from the medicine and the graduate programs. The director of the JABSOM library will serve as an ex-officio, non-voting member. Informatics Committee The Informatics Committee will recommend policies regarding the use of JABSOM’s computer resources, will advise the Dean, the Executive Committee and the Faculty Senate as to appropriate information technology assets which the School should acquire and assist the Office of Information Technology in planning the School’s computer network. The Committee shall be comprised of five voting Faculty members and two students, one from medicine and one from the graduate programs.
